TNH Check Print Workflow — Privacy Policy

This policy describes the data handled by The Neighborhood Hive's internal Google Sheets and QuickBooks integration, TNH Check Print Workflow.

Information handled

The integration uses the connected QuickBooks company ID and company information; vendor and account records returned by the QuickBooks Accounting API; and check information entered by authorized users, including vendor, date, bank account, expense category, amount, memo, and invoice or payout reference. Vendor records may contain contact details and mailing addresses. The script uses the vendor's mailing address when creating a check.

The integration also handles the app's client credentials, OAuth access and refresh tokens, transaction IDs, print status, timestamps, request identifiers, and the submitted check payload. The QuickBooks Accounting permission is broader than these particular features, although the current script uses it for company verification, vendor/account lookups, check creation, and status retrieval.

Purpose and processing

The information is used to prepare and record authorized business checks, populate vendor and account choices, reduce duplicate submissions, reconcile uncertain responses, and display transaction and print status. The integration contains no advertising, tracking-pixel, or data-sale features.

Google Sheets and Google Apps Script store and process spreadsheet records and run the script. Intuit supplies QuickBooks data and receives submitted accounting transactions through its API. Their services are also governed by their own privacy policies and terms. Authorized staff and approved accounting representatives may access information according to the permissions granted by The Neighborhood Hive.

Storage and access

Check rows, lookup lists, and submission history are stored in the Google Sheet. The submission history includes the payload sent to QuickBooks and may include a vendor mailing address. App credentials are stored in Apps Script Script Properties. OAuth tokens and the connected company ID are stored in Apps Script User Properties. Operational error messages may appear in Google's execution or Cloud logs.

Access depends on Google and QuickBooks permissions. People who can edit the bound Apps Script can access its credentials, so editor access should be restricted to authorized administrators. Spreadsheet protection warnings discourage accidental changes but do not prevent the owner from changing records.

Retention and disconnecting

The integration has no automatic record-deletion schedule. Spreadsheet and accounting records remain until an authorized administrator removes them, subject to applicable business and recordkeeping obligations. Disconnecting the app in QuickBooks prevents further authorized API access but does not remove existing checks, spreadsheet history, or stored script settings. Administrators must separately remove stored connection data when appropriate.

If the integration's data practices change, this policy should be updated before those practices take effect.
